Request for Quotations

The annual Mayor's Charity Ball is the premier social event for the City.  This prestigious black tie event offers major profile and visibility as the City plays host to more than 850 senior level executives from around the Lower Mainland.

The Contractor is to be able to provide full off-site catering and service within the parameters of the space provided.  Some food preparation is required to be done off-site and will need to be delivered to the venue.  Refrigeration and hot trucks will be required.

Food service is required for:
A.  Cocktail reception and formal dinner
B.  Buffet dinner for event volunteers and crew (55 volunteers, 25 crew members)

To consider:
A.  Reception is to include three (3) hors d'oeuvres per person
B.  Dinner is to be a 3-course meal with a price point of $65.00 (retail value)

If the City determines that an amendment is required to this RFQ, the City's Representative will issue a written addendum by posting it on the BC Bid Website at (the "BC Bid Website") and the City Website at (the "City Website") that will form part of this RFQ. It is the responsibility of Contractor to check the BC Bid Website and the City Website for addenda. The only way this RFQ may be added to, or amended in any way, is by a formal written addendum. No other communication, whether written or oral, from any person will affect or modify the terms of this RFQ or may be relied upon by any Contractor. By delivery of a Quotation, the Contractor is deemed to have received, accepted and understood the entire RFQ, including any and all addenda.

All inquiries related to this Request for Quotation ("RFQ") should be directed in writing to the contact person named below.
